      How to Manage Tags for Group Class Categorization

      If you want to make it easier for your members to quickly navigate a comprehensive schedule, the tagging system in eFitness is the perfect solution for your club. It allows you to label class types with additional, colorful tags (e.g., defining intensity level, workout type, or target group). With this solution, your clients can instantly filter the classes they are interested in within the mobile app, while you gain a clear and advanced tool for analyzing attendance in manager reports. We will show you how to easily configure this.

      Important! Class Tags vs. CRM Tags

      Remember the key functional difference: group class tags are assigned directly to specific class types, not to member profiles. This is a completely different mechanism from CRM tags, which you use in your customer database for marketing purposes.

      Note: This functionality is controlled by a specific system parameter. If the tag management option is not visible to you after navigating to the indicated tabs, please contact our support team to enable the module for your club or network free of charge.

      Step One: Managing the Tag Database

      Before you assign labels to specific schedules, you must create your own list of tags in the administrator panel.

      To do this, go to:

      Settings → Configuration → Schedule → Tags

      Fill out the new tag form:

      • Unique name – enter a short name identifying the category (e.g., Cardio, Mental, For beginners, High intensity).

      • Colors – choose a background color and text color from the ready-made style palette. Choosing the right contrast will make the schedule legible and visually appealing.

      • Member Area visibility toggle – set it to YES if you want the tag to be visible to clients in the mobile app and the Member Area. If you leave the toggle in the NO position, the tag will be used strictly for internal purposes (visible only to employees in the system panel).

      Deleting tags from the database

      If you decide to delete a tag from the system, it will be automatically unlinked from all associated classes. The system protects your data and will display an appropriate warning message:

      • If the tag is not in use: “Are you sure you want to delete this tag?”

      • If the tag is already assigned to a schedule: “The tag is assigned to classes. Do you still want to delete it?”

      Step Two: Assigning Tags to Class Types

      You can manage schedule labels in two very convenient ways from a single place in the system.

      Go to:

      Settings → Configuration → Schedule → Class Types

      Method A: Mass assignment (Fast)

      An ideal solution if you want to add a single tag (e.g., Dance classes) to multiple items on the list at the same time:

      1. Select the chosen class types with the checkbox located on the right side of the list.

      2. Click the label icon visible in the mass operations menu.

      3. In the pop-up window, select the tags you want to add (or remove) from the selected items, and then click Save. You can monitor the currently assigned tags and their colors on an ongoing basis in the dedicated “Tag” column on the class list.

      Method B: Individual assignment (from the class details card)

      Convenient if you are configuring a brand new workout or modifying a single entry:

      1. Go directly to the details card of a specific class type.

      2. Find the dedicated tag field below the class description.

      3. Click the plus button to select the appropriate tag from the list, or click the X mark on a visible tag to remove it.

      Important! Keep in mind the saving rules and limits:

      • Instant action: Adding and removing tags from the class details card is saved in the database automatically and instantly. These operations do not require clicking the “Save” button at the very bottom of the card — closing the form with the “Cancel” button will NOT undo your tag changes!

      • System limit: You can assign a maximum of 5 tags to a single class type. This ensures legibility and a clean visual layout on your members’ smartphone screens.

      Step Three: How Does It Look in Practice? (Visibility and Reports)

      Once implemented, tags automatically start working across three key areas of the system:

      1. View in the Member Area and Mobile App (Android / iOS)

      Members only see tags on the online schedule if the visibility toggle for the Member Area is turned on. They can use a convenient multiselect (multiple choice) filter. The search tool is highly dynamic — once multiple tags are selected, the system immediately displays classes that contain any of them. Any changes to colors or names made in the admin panel are automatically refreshed for your clients.

      2. Business Analytics (Attendance Report)

      You gain a completely new level of analytics. By navigating to:

      Reports → Classes → Attendance

      You will find an advanced Class tags filter. This allows you to generate attendance reports and Excel exports exclusively for specific groups (e.g., you can check the total profitability and occupancy of all classes tagged with Les Mills or Senior).

      To ensure the tagging system brings the expected benefits to your club, follow a few simple rules:

      • Use short, clear names: Labels like “Cardio” or “Heavy Workout” work much better than long, descriptive phrases that might get cut off on phone screens.

      • Avoid semantic duplicates: Keep your tag dictionary clean. Creating separate entries like New, Nowy, and Nowośćwill confuse members and distort data in your business reports.

      • Be consistent: Tags provide the highest analytical and branding value when your club’s entire offering is covered by them in a cohesive and systematic way.
